Controller of Examinations (CoE)
The Office of the Controller of Examinations (CoE) plays a pivotal role in the academic administration of the college and serves as a vital component of the autonomous examination system. The office is responsible for planning, organizing, conducting, evaluating, and maintaining the integrity and confidentiality of all examination-related activities.
The CoE ensures effective assessment of the continuous learning process of students through systematic evaluation at prescribed intervals and timely publication of results. It upholds the highest standards of quality, transparency, accuracy, and confidentiality in the examination process.
The Office of the Controller of Examinations is entrusted with the responsibility of arranging, preparing, scheduling, conducting, publishing, and maintaining records of Mid-Semester and Semester-End Examinations for all Undergraduate (UG) and Postgraduate (PG) programmes offered by the institution.
Key Responsibilities
Student and Academic Data Management
- Collection and maintenance of student biodata and academic records.
- Mapping and registration of elective courses for the current semester.
- Monitoring and verification of student attendance percentages.
- Processing cases related to attendance shortages, debarment, and withdrawals.
Mid-Semester Examinations
- Conducting Mid-Semester (MID) Examinations for all UG and PG programmes.
- Preparation of examination schedules, hall allocations, and seating arrangements.
- Collection of question papers from departments, printing, and secure dissemination.
- Ensuring confidentiality and smooth conduct of examinations.
Practical Examinations
- Collection of practical examination schedules from departments.
- Appointment and coordination of external examiners for practical examinations.
- Monitoring the conduct and evaluation of practical examinations.
Semester-End Examinations
- Preparation and publication of Semester-End Examination schedules.
- Appointment of Chief Superintendents, Hall Invigilators, Flying Squads, and other examination personnel.
- Preparation of hall charts and seating arrangements.
- Ensuring smooth and fair conduct of examinations.
Evaluation and Result Processing
- Appointment of Evaluators, Chief Examiners, and Chairpersons for valuation.
- Coordination and monitoring of the valuation process.
- Compilation, verification, and publication of examination results.
Examination Committees and Academic Integrity
- Preparation of panels of examiners from various institutions and universities.
- Conducting Malpractice Committee meetings and processing malpractice cases, if any.
- Ensuring adherence to examination rules and regulations.
Revaluation and Review Process
- Conducting revaluation of answer scripts.
- Providing photocopies of answer scripts to students as per regulations.
- Publishing revaluation results and facilitating the review process.
Student Support and Verification
- Assisting in student academic background verification.
- Maintaining examination records and issuing relevant certifications and reports as required.
